What does it cost to run a Festival Event?
Like all online booking engines, there is a cost to operate this system. You are strongly advised to consider this when setting your pricing and build the commission into your Festival Event ticket price.
A per ticket commission of 6.0% (inc. GST) will be charged to cover all ticketing administration fees and covers the contribution from your Festival Event to VWOAP Festival marketing and promotion, for example:

The 6.0% commission fee is charged at the time of purchase and is automatically deducted before any payment is made to the Festival Event organiser. Please make sure to build this 6% ticket commission fee into your ticket price.
What is the charge to consumers?
Consumers will be charged two additional fees at the time of transaction:

Please be aware that by signing the Memorandum of Understanding, you agree that in the unlikely event of you required to cancel your Festival Event, the Festival Event organiser will forfeit 20% of the ticket price of each ticket sold to cover the administration fees of processing the cancellation of that Festival Event.
What do I get for my participation fee?
In return for your successful application, signed Memorandum of Understanding and payment of the participation fee (in the form of the 6.0% commission fee), your participation fee covers:
- A profile in the VWOAP Programme Booklet, featuring your Festival Event (distribution: 85,000 copies)
- A listing on VisaWellingtonOnaPlate.com, featuring your Festival Event which also includes a link to your website and a map of the Festival Event location
- Point-of-sale collateral (including posters) to show your involvement in VWOAP
- VWOAP logos for promotional use
- A Media Kit with media contacts and tips for doing your own publicity including how to write a press release
- Invitation to attend information briefing meetings
- Invitation to attend media training opportunities
- Exposure as part of a $550,000 Festival marketing campaign, including:
- Nationwide digital marketing campaign (commencing June 2013)
- Media partnership in New Zealand and Australia with MiNDFOOD magazine
- Dominion Post Reader Promotions
- Street Flags around the city and greater Wellington region
- WellingtonNZ.com profile (NB: this website gets over 2.4 million visitors a year!)
- Positively Wellington Tourism E-news channels:
- KNOW (Wellington): 8,500 subscribers
- Domestic (New Zealand): 42,000 subscribers
- Australia: 59,000 subscribers
- Promotions and competitions
- Updates on Facebook (VWOAP: 4,395 Likes; PWT: 50,837 Likes) and Twitter (VWOAP: 2,527 followers; PWT: 7,441 followers), social media presence on Flickr and YouTube
What does it cost to run a FREE Festival Event?
Free Festival Event participation fees are charged based on attendee numbers to cover marketing and promotion costs of the Festival Event. The fees for 2013 are:
Less than 50 attendees $75 (exc. GST)
50 - 100 attendees $150 (exc. GST)
100 - 200 attendees $250 (exc. GST)
200 - 500 attendees $350 (exc. GST)
500 – 1,000 attendees $650 (exc. GST)|
1,000+ attendees $1,000 (exc. GST)
Some specific considerations for Free Festival Events:
- Market Days, which are free to attend but have stallholders from which customers buy produce etc, will be charged at the fee levels as noted above
- A wine or coffee tasting that has no commercial element and for which no ticket is required and no commercial sales will be made, will have no registration fee
- All Free or Charity Events, that are required to be booked in advance by attendees, are required to utilise the Online Booking System
- All fees are GST exclusive.
- All Free and Charity Events are subject to the Terms and Conditions of the Festival Events Cancellation Policy.
All Free Festival Event applicants will be advised after Wednesday 27 February 2013 if they have been successful in being accepted into the Festival Events programme.
The 2013 Free Festival Event participation fees are due no later than FRIDAY 12 APRIL. Any Free Festival Event that does not provide their payment by this date will automatically be removed from the 2013 Festival Event programme, WITHOUT EXCEPTION.

Festival Event Participation Terms & Conditions
All successful Festival Event applicants must adhere to the following terms and conditions of participation in VWOAP:
- Have your completed application submitted to the VWOAP Festival via VisaWellingtonOnaPlate.com no later than midnight on Wednesday 20 February. ABSOLUTELY NO LATE APPLICATIONS WILL BE ACCEPTED. NO EXCEPTIONS.
- If your Festival Event is dependent on the weather (e.g. held outdoors, on a boat, etc) you MUST have a documented inclement weather contingency plan in place – and this plan must be detailed in your Festival Event application
- Festival Event organisers must utilise the online booking engine on VisaWellingtonOnaPlate.com to facilitate all bookings for Festival Events. The VisaWellingtonOnaPlate.com online booking engine is facilitated by Dash Tickets.
- All Festival Events that has capacity for over 50 ticket sales must provide the VWOAP Festival Management team with two tickets for media hosting, free-of-charge.
Memorandum of Understanding
All participants in VWOAP activities are required to sign a Memorandum of Understanding between themselves and the organisers of the VWOAP Festival acknowledging the shared and individual responsibilities to ensure the successful delivery of the Festival. Specifically, this sets out the requirement by participating Festival Events to:
- Return the signed Memorandum of Understanding and payment of your participation fee NO LATER than 30 March 2012.
- Inform the Festival Committee on each occasion where practical when your Festival Event is sold out during the Festival Period to enable the Festival Committee to note this on the VWOAP 2012 website and social media channels
- Comply with all requirements of the Bookit online event booking system (this is the booking engine utilised on VisaWellingtonOnaPlate.com)
- Prominently display at the event venue (where practicable) the VWOAP 2012 collateral (posters and booklet), from the date of receipt of the collateral until the completion of the Festival period
- Comply with all administrative requirements of the Festival Committee in a timely manner, and provide images and/or logos to be used in promotional material to the Festival Committee on request and without charge
- Complete the VWOAP 2012 Survey and send it to Festival Committee by the deadline specified in the survey email
- Agreement with the Festival Events Cancellation Policy (as set out below)
Failure to meet these conditions will result in removal from the 2012 Festival Programme and your Festival Event will not be permitted to participate in the following year’s Festival.
VWOAP is coordinated and managed by Grow Wellington and Positively Wellington Tourism.
Please remember VWOAP applications close midnight, Wednesday 20th February. No applications will be accepted after this date.
