A note to all Festival Event applicants – ONLINE BOOKINGS

In 2012, we will be changing the way that consumers will purchase tickets to your Festival Events. Following a very successful trial in 2011, it will now be compulsory for all Festival Events to sell at least 80% of their ticket inventory via the online booking engine on VisaWellingtonOnaPlate.com. Applications are now closed for VWOAP 2012 Festival Events.

Thank you to those who applied to be part of the 2012 Festival.

All applicants will be advised in early March if they have been successful in being accepted into the Festival Events programme.

Festival Events Selection Criteria

Participation in the VWOAP 2012 Festival Events programme is an APPLICATION process. That means that you aren’t automatically accepted. It’s not that tough though…we just need to make sure that we are offering consumers, the best of the best! In addition to providing the nuts and bolts information about your proposed Festival Event, your business must adhere to the following selection criteria:

  • Food or beverage must be the hero of all Festival Events
  • You must utilise the online booking engine on VisaWellingtonOnaPlate.com as your primary booking source (i.e. at least 80% of your ticket inventory must be available through this site)
  • If your event is dependent on the weather (e.g. held outdoors, on a boat, etc) you MUST have a contingency plan in place – and this plan must be detailed in your Festival Event application
  • VWOAP strongly endorses the use of local producers/suppliers in the creation of your Festival Event

PLEASE NOTE: Only online applications for VWOAP Festival Events will be accepted.

Memorandum of Understanding

All participants in VWOAP activities are required to sign a Memorandum of Understanding between themselves and the organisers of the VWOAP Festival acknowledging the shared and individual responsibilities to ensure the successful delivery of the Festival. Specifically, this sets out the requirement by participating Festival Events to:

  • Return the signed Memorandum of Understanding and payment of your participation fee NO LATER than 30 March 2012.
  • Inform the Festival Committee on each occasion where practical when your Festival Event is sold out during the Festival Period to enable the Festival Committee to note this on the VWOAP 2012 website and social media channels
  • Comply with all requirements of the Bookit online event booking system (this is the booking engine utilised on VisaWellingtonOnaPlate.com)
  • Prominently display at the event venue (where practicable) the VWOAP 2012 collateral (posters and booklet), from the date of receipt of the collateral until the completion of the Festival period
  • Comply with all administrative requirements of the Festival Committee in a timely manner, and provide images and/or logos to be used in promotional material to the Festival Committee on request and without charge
  • Complete the VWOAP 2012 Survey and send it to Festival Committee by the deadline specified in the survey email
  • Agreement with the Festival Events Cancellation Policy (as set out below)

Failure to meet these conditions will result in removal from the 2012 Festival Programme and your Festival Event will not be permitted to participate in the following year’s Festival.

Festival Events Cancellation Policy

Customer Ticket Cancellation

All tickets to Festival Events ticketed via the online booking engine on VisaWellingtonOnaPlate.com are NON REFUNDABLE and NON CHANGEABLE. Like all major events ticketed through online booking engines (such as Ticketek or TicketMaster etc), should a customer choose to cancel their attendance at your Festival Event, YOU WILL HAVE NO LIABILITY (i.e. you will not be required) to refund them. Providing a refund will be totally at your discretion. Should a customer re-sell their ticket (at face value or less) to a new customer, that is their choice. Full cancellation policy details will be available at the time of ticket purchase for the consumer.

Please note: If your event is dependent on the weather (e.g. held outdoors, on a boat, etc) you MUST have a contingency plan in place. Festival Events that are weather dependant and have no inclement weather alternative will NOT BE ACCEPTED.

Festival Event Cancellation

In the unlikely event that your Festival Event is required to be cancelled, all ticket holders will need to be refunded via the online booking engine for the full amount of their ticket price. In addition, you will forfeit 20% of the ticket price of each ticket sold to cover the administration fees of processing the cancellation of the Festival Event. You would be invoiced for this. Credit card fees will not be refunded to you.

The Festival Event Cancellation Policy applies to ALL FESTIVAL EVENTS regardless of it being a paid, ticketed Festival Event, a Free Event or a Charity Event.
